Missed-Call Text-Back vs. AI Phone Agents
One sends a text. The other has a conversation. Here's the real difference, what each costs, and when the cheaper one is all you need.
Both promise to save the calls you miss, and they get lumped together, but they’re very different products. One sends a text. The other has a conversation.
Here’s what each one does, and when the cheap one is enough.
What missed-call text-back does
It’s a simple rule. Your phone system sees an unanswered call and sends the caller a set message, something like: “Sorry we missed you. How can we help?”
It’s cheap, often around $20 to $40 a month as an add-on, and sometimes it comes with your phone plan.
The catch is what happens next. If the customer replies, somebody still has to read it and respond. If you’re on a roof until 6pm, that reply sits there.
What an AI phone agent does
An AI phone agent talks to the caller. It can answer their questions, find out what the job is, where it is and how urgent it is, and take down their details. Depending on the product and plan, it can also book the job on your calendar and pull you in on an emergency.
You get the details when it’s done, and in many cases the job’s already on your calendar. It costs more because it does more, and each minute of conversation has a real cost behind it.
Side by side
| Text-back | AI phone agent | |
|---|---|---|
| Reaches the customer | By text, after they hang up | By voice, on the call or a callback |
| Answers questions | No, unless a person replies | Yes, from what you’ve set up |
| Gets job details | Only if a person follows up | Yes |
| Books the job | No, unless a person follows up | Yes, on plans that include booking |
| Needs you to respond | Yes | Less often |
| Typical cost | Around $20 to $40/mo | Often $50 to $500/mo, sometimes plus setup |
The AI price range comes from the plans in our Podium alternatives list. Ring First’s packages sit at the done-for-you end of that range, with a setup fee on top.
When text-back is all you need
Save your money if:
- You miss only a few calls a week.
- You or someone in the office can reply to texts within minutes.
- Your customers are happy to text.
- Your jobs aren’t urgent, so nobody’s in a rush.
It’s a good first step, and it beats voicemail.
When you need more
An AI agent starts to make sense if:
- You’re on the tools most of the day and nobody’s covering the phone.
- You get calls at night or on weekends.
- Your customers tend to call someone else if they can’t get through. Think burst pipes or a dead furnace in January.
- You’re paying for leads and need them handled fast.
If you’re not sure, work out what your missed calls cost. A small number points to text-back, and a big one points to something stronger.
Two things to watch for
Business texting has rules. In the US, texting from a regular 10-digit business number generally requires A2P 10DLC registration, and that can take weeks. Ask any vendor who handles it.
“AI” doesn’t always mean a conversation. Some products call themselves AI and only send a smarter text. Ask for a real demo call, and listen to how it handles a confusing question.
Our agent will call you, so you can hear it for yourself. If you’d like to compare packages first, they’re on the pricing page.
