# Privacy policy

The plain version of what we collect and what we do with it. Questions: [hello@ring-first.com](mailto:hello@ring-first.com).

## 1. Who we are

Ring First ("we", "us") builds and runs AI phone agents, booking pages and related tools for trade businesses (our "clients"). This policy covers ring-first.com, our booking pages, the phone agents we run for our clients, and our client dashboard.

## 2. What we collect

- **From our clients:** business name, owner name, phone number and email, services, prices, hours and service area, and payment status from Stripe. We never see or store card numbers.
- **From people who call or are called by a client's agent:** phone number, call recordings, transcripts and summaries, and the details they give: name, address, what they need.
- **From forms and booking pages:** name, phone, email (if given), address, postal code, the service and time chosen, and their message.
- **From Google, when a client connects their Google Calendar:** see section 4.
- **Technical data:** IP address and basic request logs, used for security, spam protection (Cloudflare Turnstile) and rate limiting.

## 3. Why we use it

- To run the service each client pays for: answer and return calls, book jobs, send confirmations, reminders and review requests, and tell the owner what happened.
- To bill clients and keep records we're required to keep.
- To keep the service working and safe: fixing problems, blocking spam and abuse.

We don't sell personal information, and we don't use it for advertising.

## 4. Google user data

When a client connects their Google account, we request access to their Google Calendar (`calendar.events` and `calendar.freebusy`) and their basic account identity (`openid`, `email`).

- **How we use it:** to see when the client is busy, so the agent and booking page only offer open times, and to add the jobs we book to their calendar. That's all.
- **What we store:** an encrypted access token (AES-256) and the IDs of the calendar events we create. We don't copy or keep the client's other calendar events.
- **Sharing:** we don't sell Google user data, use it for advertising, or share it with anyone except the service providers listed in section 5, and only to run the service.
- **People:** no one at Ring First reads a client's calendar data unless the client asks us to (for example, to fix a booking problem), or it's needed for security or required by law.
- **Revoking access:** a client can revoke access any time in their Google account settings (Security, then Third-party connections). The agent can't book while it's revoked.

Ring First's use and transfer to any other app of information received from Google APIs will adhere to the [Google API Services User Data Policy](https://developers.google.com/terms/api-services-user-data-policy), including the Limited Use requirements.

## 5. Who processes it for us

These providers process data on our behalf, only to run the service: Retell AI (phone calls and chat), Twilio (texts), Resend (email), Cloudflare (hosting, security and spam protection), Neon (database), Stripe (payments) and Google (calendar). Some of them store data in the United States.

## 6. Calls are recorded

Every call with one of our agents starts with a notice that the caller is talking to an AI assistant and that the call is recorded. Recordings and transcripts go to the client whose business was called, so they can follow up.

## 7. How long we keep it

- While a client uses the service, we keep their data so the service works and they can look back at past calls and bookings.
- After a client cancels, we delete their data within 30 days of being asked, except what we have to keep for tax and accounting.
- Anyone whose details a client's agent took (a caller, a form or booking-page user) can ask us to delete them. Email [hello@ring-first.com](mailto:hello@ring-first.com).

## 8. Your choices

- Ask what we hold about you, or ask us to correct or delete it: [hello@ring-first.com](mailto:hello@ring-first.com).
- Stop calls or texts from a client's agent: tell the agent, reply STOP to a text, or email us.

## 9. Changes

If we change this policy, we'll update the date at the top and tell clients by email before the change applies to them.
